Onboarding timeline

From signed pilot to a self-funding community in 12 weeks.

Your first 90 days are run by an Alumni Success Manager alongside your Champion. Nothing goes live without your approval.

  1. Week 0
    Kick-off & pilot agreement

    Sign the pilot agreement and Data Processing Agreement, appoint your Champion, and agree brand assets and comms tone.

  2. Weeks 1–2
    Data intake & cleanup

    Hand us your alumni list in any format — CSV, spreadsheet, PDF or exported SIS. We de-duplicate, format phone numbers, verify emails and flag gaps for your Champion to fix.

  3. Weeks 2–3
    Branding & portal build

    Your white-labelled portal is built with your logo, colours, hero imagery, programme name and welcome copy. You approve before anything is published.

  4. Weeks 3–4
    Invitation wave

    First WhatsApp + email invitations go out with your Champion's signature. We monitor delivery, respond to queries and iterate copy weekly.

  5. Weeks 4–6
    Verification & activation

    Alumni verify profiles, join class-year groups and complete their first mentorship or event RSVP. We report daily on activation and address blockers.

  6. Weeks 6–8
    Sponsor & recruiter warm-up

    ASM introduces relevant sponsors and recruiters, prepares a shortlist of packages and drafts your first launch event.

  7. Weeks 8–10
    First event & first revenue

    First live event (reunion, careers panel or launch dinner). First alumni subscriptions and sponsor invoices flow — with the bursary pool visible on every receipt.

  8. Weeks 10–12
    Pilot review & tier gate

    Full performance review with the head, Champion and ASM. We assess Foundation → Partner promotion gates and set the plan for the next quarter.

  • Bespoke reports
    Board packs, foundation reporting, custom cohort exports.
  • Alumni photo shoot
    Coordinated professional photography for verified profiles on request.
What's excluded

No hidden fees. Ever.

The pricing above is complete. You will never be invoiced for:

  • Setup or onboarding fees
    Portal build, branding, data cleanup and ASM setup are all included.
  • Per-alumnus platform fees
    You never pay for having more alumni on the platform — alumni pay their own subscriptions.
  • Support tickets
    Champion and alumni support is bundled with your ASM allocation.
  • POPIA / DPA hosting
    Data Processing Agreement, consent logs and audit trails are all included.
